Job Summary: Administrative Assistant

We are seeking a skilled Administrative Assistant to join our team in Oakville, ON. The ideal candidate will excel in multitasking, possess strong organizational abilities, and exhibit exceptional interpersonal skills. This role involves various administrative duties including answering phone calls, greeting visitors, maintaining documents, data entry, and assisting with office tasks. Proficiency in computer systems, including Microsoft Office Suite, is essential. Previous office or administrative experience is preferred, along with familiarity with document management systems (DMS). The successful candidate will work closely with a small team, demonstrating excellent communication and teamwork abilities. Flexibility to work occasional weekends and strong attention to detail are necessary. A valid driver's license (G2 or G) is required for this role. Duties:

  • Answer and direct phone calls efficiently.
  • Welcome and support visitors in a professional manner.
  • Organize and maintain documents, records, and paperwork.
  • Update and manage databases through accurate data entry.
  • Assist with general administrative tasks such as photocopying, scanning, and faxing.
  • Monitor office supplies and initiate orders when necessary.
  • Support scheduling of appointments and meetings.
  • Relocate vehicles.


Experience Required:

  • Proficiency in phone systems and multitasking with multiple lines.
  • Strong computer skills, particularly with Microsoft Office Suite.
  • Knowledge of filing systems and effective document organization.
  • Accurate data entry with keen attention to detail.
  • Strong organizational skills to manage tasks and prioritize workload.
  • Previous office or administrative experience preferred.
  • Excellent phone etiquette and customer service skills.
  • Familiarity with Document Management Systems is an advantage.
  • Education: Secondary School
  • Experience: 1 year in front desk and administrative roles (preferred).


Additional Information:

  • 30-minute paid break included.
  • Weekend availability required on rare occasions.
  • Full-time, permanent position.
  • Starting from $20.00 per hour.
  • Expected hours: 40 per week.
  • Benefits include on-site parking.
  • License/Certification: Driver's license (G2 or G) required.
  • Ability to commute to Oakville, ON L6J 7Y3.
  • Relocation to Oakville, ON L6J 7Y3 is required before starting work.
  • Work location: In person.
